The maths on a tradie's week

Published research, not our own numbers. This is the gap OneJobMate is built to close.

10.5 hrsa week on admin for the average Australian small business owner. Tradies sit at the top of that range.Xero Small Business Insights, 2024
7+ hrsof it is invoicing, chasing payments and updating customer records — the work a system should already be doing.Tradie Workflow Survey, 2023
78%of customers buy from the business that responds to their enquiry first.InsideSales / MIT lead-response study
21×more likely to qualify a lead when you reply in five minutes instead of thirty.Harvard Business Review, The Short Life of Online Sales Leads

The average business takes about two days to reply to a new enquiry. A funnel that captures the job properly, and a quote drafted the moment it lands, is how you get inside the window instead of missing it.

What it does

Six jobs it does for you, every day

Land. Quote. Manage. Invoice. Coordinate. One record for the job the whole way through, so nothing gets re-typed.

Lead capture

A branded enquiry funnel on your own site

Questions branch on what they answer, and photos are required where they actually matter — switchboard, meter box, the area of work.

You get a structured job, not a one-line contact form.

Quoting

Quotes drafted for you, approved by you

The draft is written from their answers, your price guide and your business details. You edit, then send.

Nothing goes out, and no price is ever stated, without you.

Money in

Invoices and payments

Australian tax invoices with GST and your ABN, gapless numbering, branded PDF, part payments recorded against the invoice.

Approved quote to sent invoice in two clicks.

Scheduling

Calendar and job dates

Jobs get a date and an assignee. Subscribe from the calendar app on your phone and the week comes with you.

One week view for the whole crew.

Team

Roles, assignment and clock-on

Admin, Editor and Viewer. Assign jobs to whoever is doing them; a viewer only sees their own work and clocks on from their own screen.

Apprentices see their jobs, not your books.

Books

Xero sync and reports

Connect your Xero organisation once — sent invoices and reviewed bills push across automatically. Revenue, AR aging and job margin read off the same data.

No double data entry at tax time.

See it working

Three screens, one job

The customer answers questions that branch

One question per screen, so it gets finished on a phone. Pick the job type and the funnel only asks what that job needs — switchboard type, roof material, distance from the board, asbestos, urgency, photos.

It's your funnel: your logo, your colours, your questions, published to a link that sits on your own website.

Five electrical job trees ready to go, or build your own in the tree editor.

How the loop runs

01

Build and publish your funnel

Start from a trade template or the tree editor, add your logo and colours, then drop the link on your website.

02

A real job lands

Answers, photos and contact details arrive together as a submission, ready to quote — no callback needed to find out what the job is.

03

Approve the quote

Read the draft against their answers, adjust, send. The customer approves it on a link, with the time and date recorded.

04

Book it, bill it, bank it

Promote to a job with a date, invoice from the same line items, record the payment, and let Xero pick it up.

It runs from the van

Quote on site, clock on at the door, mark the job done before you drive off. Everything the office sees, you see on the phone.

Clock on, check the day's jobs, close one out — the same account, on the phone in your pocket.

Already with us

Six things you're paying for and might not be using

Open your dashboard

Purchase orders and bills

Raise a PO to a supplier, receive it against the job, then match the bill that follows. Job margin stops being a guess.

Receipt scanning

Photograph the docket from the wholesaler and add the lines to the job instead of typing them out at the kitchen table.

Materials lists

A printable list per job with what's ordered, what's on the van and what's still outstanding.

Price guides

Attach your rates and multipliers to funnel answers once, and every draft quote arrives with a range already worked out.

Calendar subscribe link

Subscribe to your jobs from the calendar app you already use, so the week shows up next to everything else in your day.

Role preview and expiring docs

See exactly what an apprentice sees before you invite them, and get told which certificates expire in the next 30 days.

Straight answers

Do I have to change my website?

No. Your funnel gets its own published link — put it behind a "Get a quote" button on the site you already have.

Does the AI talk to my customers?

Never on its own. It drafts for you; you approve before anything sends. It doesn't quote a price, promise a date, or give a compliance opinion.

Are the invoices right for Australia?

GST and your ABN, "Tax Invoice" wording, gapless numbering and Australian date and currency formatting, as a branded PDF.

Can I change the questions later?

Any time. Add, remove or re-order questions in the tree editor, set what each answer branches to, save it as a draft, walk through it yourself in Preview, then publish when you're happy.

Who else can see my jobs?

Inside your business, roles decide: a viewer only sees the jobs assigned to them, an editor works the jobs, an admin sees the money. Every quote, job, invoice and submission is scoped to your own business account.

I already use Xero.

Good. Connect it once and sent invoices and reviewed bills push across. OneJobMate is where you run the jobs; Xero stays where you keep the books.

Land the next one properly.

Set up your funnel, put it on your site, and let the next enquiry arrive as a job you can quote instead of a missed call you have to chase.
